General
Article 1: Name and Registered Office
The association bears the name Tafeltennisvereniging Veldhoven. It is located in Veldhoven. If the association acquires a main sponsor, it may compete under the sponsor’s name or include the sponsor’s name in its own.
Article 2: Duration and Purpose
The duration of the association, its purpose, and the means by which it seeks to achieve this purpose are described in the statutes.
Article 3: Association Year
The association year, which is also the financial year, runs from 1 January to 31 December.
Membership
Article 4: Commencement of Membership
Membership must be applied for in writing to the secretary using an application form provided by the board. Minors require the signature of their legal representative. The board may require proof of the information provided on the form. The board decides within 30 days after receiving the application. If accepted, the applicant will be informed verbally. If rejected, the applicant will be notified in writing and has the right to appeal to the general meeting, in accordance with Article 6(2) of the statutes. The general meeting decides by simple majority after hearing the board and, if desired, the appellant.
Article 5: Change of Personal Details
Each member is required to report any changes in personal details to the secretary in writing.
Article 6: Classification of Members
According to Article 5 of the statutes, the association has regular members, honorary members, and members of merit. Regular members consist of senior and youth members. Senior members are those who have reached the age of 17 by 30 June of the current association year. Youth members are those who have not yet reached the age of 17 by that date.
Article 7: Termination of Membership
Article 7(1) of the statutes lists four reasons for termination of membership. Members must submit their resignation in writing to the secretary and may only resign at mid‑year or year‑end, with one month’s notice (Article 7(3) of the statutes). Financial Matters
Article 8: Registration Fee
The registration fee must be paid within one month of obtaining membership. The amount is determined by the board.
Article 9: Contribution (Membership Fee)
The contribution must be paid semi‑annually before a date set by the board. The board may allow monthly payment via automatic bank transfer.
If payment is not made, a reminder will be sent. If payment is still not made within one month, membership will be terminated and the member placed on a list accessible to sports associations.
The contribution amount is determined annually:
a. The board may increase the fee annually according to the index figure and increases imposed by the federation or regional body. These must be published before 1 April. b. Other increases must be submitted to the general meeting.
Members joining mid‑year pay only for the remaining months.
Article 10: Competition Fee
Members participating in NTTB competition must pay a competition fee. The board determines the method of collection.
Article 11: Tournament Fee
Participation in tournaments generally requires payment of a tournament fee.
Governance
Article 12: Decision‑Making
The board may only take valid decisions if more than half of its members are present and absent members have been informed of the agenda.
Article 13: Division of Tasks
The board determines the division of tasks among its members, unless otherwise specified in these regulations.
Article 14: Duties of the Chairperson
The chairperson leads the association, ensures compliance with statutes and regulations, acts as official spokesperson, chairs meetings, and sets the agenda. The chairperson may close discussions but must reopen them if two‑thirds of voting members request it.
Article 15: Duties of the Secretary
The secretary manages administration, correspondence, membership records, meeting notices, communication to members, the annual report, and the association archive. The secretary also takes minutes or delegates this task.
Article 16: Duties of the Treasurer
The treasurer manages finances, keeps accurate records, collects payments, pays invoices, provides financial documents upon request, monitors the budget, and presents the annual financial report with balance sheet and budget.
Article 17: Duties of the Competition Secretary
The competition secretary manages all competition matters, including transport, cup competitions, multi‑events, tournaments, and publishes competition results.
Article 18: Resignation of Board Members
Board members may resign voluntarily or be dismissed by the general meeting with a two‑thirds majority. Membership termination also ends board membership.
Article 19: Committees
The board may appoint committees to carry out specific tasks. Committees must report annually, financially and ethically. The board may dissolve or replace committees at any time.
Article 20: Association Publication
The board may issue an association publication or delegate this to an editorial team. The editorial team must publish board announcements and provide financial accountability annually.
Article 21: Club Clothing
Club colours are a red shirt and black shorts/skirt. Competition players receive a club shirt at cost price. Official competitions require wearing the club uniform.
Article 22: Playing Times
The board proposes playing times for competitions and training to the general meeting. The board may deviate from the schedule when necessary.
Article 23: Equipment
Association equipment may only be used for association purposes. Damage caused by members may be charged to them. Players must provide their own balls.
Article 24: Disciplinary Measures
Members must follow instructions from staff during training and matches. Misbehaving members may be sent home. The board may impose suspension or expulsion. Trainers and the technical committee may remove a member from a training group.
Article 25: Announcements
Announcements are made via the association publication, notice board, or other methods. Members are expected to be aware of them.
Competition
Article 26: Participation
Members wishing to participate in competition must register in writing before a date set by the competition secretary. Parents of minors must sign. Parents of young players must take turns accompanying away matches.
Article 27: Ending Participation
Ending participation is only possible at the end of a full season (two halves).
Article 28: Competition Fee
Competition players must pay a competition fee set by the NTTB. If included in the contribution, players who stop early may still be charged.
Article 29: Team Formation
Teams are formed by the technical committee in consultation with trainers. Criteria include:
- Performance in competition and tournaments
- Skill development
- Training attendance
- Motivation and effort
No appeal is possible.
Article 30: Team Captains
Each team has a captain responsible for:
- Submitting match forms
- Ensuring team functioning
- Arranging substitutes
- Rescheduling matches when necessary
- Hosting opponents and providing match balls
Article 31: Absence and Negligence
Absence is only allowed in exceptional cases. Repeated absence may lead to replacement and fines. Negligence leading to fines from the NTTB may be charged to the team.
Article 32: Travel Reimbursement
Travel costs are reimbursed according to detailed rules (youth teams, senior teams, kilometre limits, reimbursement forms, and annual rate set by the general meeting).
Article 33: Sports Clothing
The association follows NTTB clothing regulations.
Final Provisions
Article 34: Omissions
In cases not covered by statutes or regulations, the board decides. Members are expected to know all rules.
Article 35: Amendments
Amendments to these regulations require approval by the general meeting and take effect immediately unless otherwise specified.
Article 36: Dispensation
The board may grant dispensation if strict application of rules leads to unfairness.
Article 37: Social Safety
The association has a confidential advisor for unwanted behaviour. Trainers require a Certificate of Good Conduct (VOG).
